We know that looking after
speakers properly is key to a successful event and we are extremely
thorough in all our dealing with contributors. Health Links regularly
receives compliments from NHS leaders and others about the quality of
services service in this vital area. We construct detailed databases of speakers for events to ensure speed and accuracy of all communications. Our practice is to write to speakers within a week of their being secured to speak. This communication confirms the date and time of their presentation, requests biographical details and details of AV and accommodation requirements. We offer our assistance with any enquiries that they have from then on and give a contact name at our partner organisation for enquiries regarding context and content (although we can generally help with most of such questions). Approximately three weeks before the event we write (or email) to confirm all details to provide a full brief and protocol for presentations including a PowerPoint template. In the case of plenary speakers, we usually produce a detailed stage schedule so that they know where and when to move onto the platform. We also provide a senior team-member to meet and greet speakers at the venue at the Speaker’s registration desk and escort them to a speaker’s lounge/slide preview room, and to take care of their needs afterwards.
